CHEVINGTON WOODS CIVIC ASSOCIATION
MINUTES OF TRUSTEES MEETING
January 19, 2004

Vice President Briggs called the meeting to order at 7:10 p.m.

The presiding officer ascertained the presence of a quorum with six (6) Trustees in attendance:

Mark Briggs, Vice President
Will Snell, Secretary
Rachel Hintz
Teresa Hartley
Julie Squier
Lisa Ross

Vice President Briggs noted that President Comanita had sent her regrets that she would be unable to attend the meeting due to her need to attend funeral rites in Toledo.

Reading of the minutes: Vice President Briggs noted the minutes of the December 15th regular meeting and the December 20th emergency meeting had been previously distributed via email to the trustees and advised, that if there were no objections, the minutes could be approved as distributed. Trustee Squier moved to waive the reading of the minutes; the motion was duly seconded and passed without dissent.

Treasurer’s Report: Treasurer Roeder was unavoidably absent due to an out of town business trip required by his employer.

Reports of Standing Committees:

Street Light Committee: Chairman Snell reported that he and resident volunteer Lenny Hritzo were working on replacing the missing flood light box at the Chevington Woods South entrance. Thieves ripped the light fixture and wooden box housing the fixture from its base during the Christmas Season. A new fixture and housing box have been constructed, painted and is ready for installation but the freezing weather has delayed installation because a concrete “anchor” is being installed to deter further thefts.

Reports of Ad Hoc Committees:

Chevington Woods Directory Committee: Three Directory Committee members presented updates on their activities in regard to Directory data and advertisement preparation. During the ensuing discussion it was noted that twenty one (21) of twenty two (22) listed advertisers had been contacted to date and not one had been contacted by anyone representing the CWCA during the last half of 2003 or anytime in 2004 until the members of the present Directory Committee appointed on December 20, 2003 began their duties shortly thereafter.

It was the consensus of opinion that the Directory should include a letter to the residents from CWCA President Comanita, Chevington Woods Pool information and other ancillary items that would be helpful to the residents of Chevington Woods.

Following much discussion among the Trustees assembled, it was the consensus of opinion that the Directory Committee should proceed to get the Directory published as expediently as practical with the information on hand and updates will be filed for inclusion in the next publication. It was noted that an informational questionnaire will be included with the 2004 dues notice and the information received in response will be kept on file for use in preparing the next Directory.

Unfinished Business:

Playground Equipment: Trustee Snell reported that he had reviewed some brochures but had not had time to put together a report since the Directory and street light maintenance work had consumed most of his free time. It was the consensus of opinion that the CWCA should seek volunteers to schedule a “clean up/fix up” date in the spring for the playground at the North Reserve.

Deed Restriction Committee: Even though Chairperson Comanita was absent, it was noted that she had emailed the Trustees of her desire to set a Committee meeting as soon as possible. It was the consensus of opinion that the Committee defer to the Chairperson for a meeting date since her travel schedule was so hectic at present.

New Business:

Newsletter: It was noted the CWCA Newsletter should be prepared and distributed in a timely manner. Trustee Ross volunteered to serve as editor pro tem and Trustee Snell volunteered to assist. It was further noted the dues notices should be mailed to the residents in a timely manner. It was the consensus of opinion that the newsletter be included with the mailing of the dues invoices and statements of past due amounts as soon as practical.

CWCA web site: Trustee Ross reported that she was working on an alternative web site and would like to generate more use of the site by the residents of Chevington Woods to not only furnish information to all the residents but receive feed back regarding items of concern. She further advised that she would advise the Trustees of the two sites available when finished with a basic setup for each and then await the opinions of the Trustees as to which site/format they prefer.

Presiding officer Briggs called for any other matter a Trustee wished to bring before the Trustees assembled. Hearing none, he entertained a motion from Trustee Squier to adjourn, which was duly seconded, and passed without dissent.
