Notes:

1. Met with Luke from Brickmann Groundskeeping. Luke presented Brickmann¡¦s grounds services and presented us a quote.
„« Luke will amend quote to include Grub treatment
„« Luke will send us quote for snow removal for both the time and materials and the per occurrence pricing.
2. After Luke left we discussed the other quotes we had received from the following companies and decided to go with Brickman because of the lower price and what they offer:

„« GroundMaster
„« Fredricks
„« Louiso
„« MW
„« Brickmann
3. Went over the budget that Judi sent out and made modifications and were able to bring next year¡¦s budget down about 90K from what Judi first came out with.
4. All of us present filled out and signed the form so that we can switch to the new Insurance with State Farm which will save us lots of $$$.
5. We talked about whether to keep Amity for one more year or to replace them with Town Properties.
„« Carol is going to call Town and see if they will wave their $3000 start up fee.
„« If we go with Town we will have to pay an overlapping fee so Amity can transfer the information to Town. Not sure if that will be 1 or 2 months.
„« Carol is going to call Judi to set up a meeting with her next week on 11/1 or 11/3 so she can present Amity to us. We are going to tell her we are looking at other companies and tell her our concerns. We are also going to discuss the following topics with her:
o Explain in detail where she gets all her costs for the projected budget for next year.
„X Why do we need a contingency and common area maintenance category if we have reserves?
„X What exactly did we pay for last year under Common area maintenance that cost $1449?
„X Why is the projection for the Ponds $7500 when it only cost $1600 a year to maintain the pond and $1000 for the fountains?
o Was the $5000 retainer for GM to do the snow pushing paid at the beginning of the year or will it be paid near the end at snow season? If it has not been paid yet can we apply this to the Brickmann retainer fee?
o How do we go about breaking the GM contract?
o Present and explain the current Amity contract.
o Why do we pay for every meeting she attends? Other management companies give you 1 free meeting with them a quarter.
o How many communities does Amity manage and what are some examples of them nearest to us?
o What percentage of reserves to do we need to have for each home according to the new law that has been passed?
