The letter below was sent by email in March. I'm hoping everyone I have email addresses for have received it.
It was brought to my attention that requests are still being made to Cass by phone or by email and very few have used the landscaping service request form. I'm attaching the "Mayfair Work Order Form" that can be printed or completed and emailed to Cass as an attachment. Hopefully, that will make it easier for you. Using the form will certainly make it easier for Cass and for the Board to ensure landscaping problems are being attended to in a timely manner. It also helps the Board track additional charges to the Association for work done by Raymow.
Raymow will not respond to any requests that are not communicated to them via this form. Your cooperation will be greatly appreciated.

Dear Mayfair Neighbors,
Your Board of Directors and Property Manager have looked at ways to ensure requests for landscaping services are communicated to the right people in the least amount of time. The Board approved the use of a form to facilitate communication of your requests and provide a written record of the work through completion. Landscaping Committee Chairman, Roger Monsour, proposed the attached form. Copies are available in Cass Malloy's office at Club Tampa Palms.
When you need to have the landscapers contacted to correct a landscaping problem, simply submit a form explaining your request. Cass will review the request and follow up if the work required is the Association's responsibility. The landscaping company will sign off on the form when the work is completed.
If it is determined that landscaping services requested are outside the scope of the Association's responsibility, make sure you receive a written estimate from the landscaping company prior to their doing the work. Also, if you are considering additional planting, make sure it is approved by the ADMC.
The Mayfair Work Order Form can also be used to report other issues, such as lighting that may need attention or an irrigation problem in the common areas. Your observing and reporting problems that may have been overlooked will be very helpful in keeping our community properly maintained.
