Steering Committee meeting, 11 May 2006

1. The following attended the Steering Committee meeting of the Pleasant View Social Club (PVSC) on May 11, 2006 at the Sun Hills Fire Station:

Paul and Diane Jones (Directory Chairman and Co-President, respectively)
Jo Weilbrenner (Secretary Substitute)
Walter and Carol Reiss (Treasurer and Newsletter Committee Member, respectively)
Amy Branstetter (Membership Chairperson)
John and Kris Saychek (Garage Sale Chairman and Picnic Chairperson, respectively)

2. Diane Jones thanked Carol Reiss for preparing and getting the newsletter out.

3. The Welcoming Committee Chairperson, Rita Hufford, requested a budget through Amy Branstetter. The committee decided against this, instead suggesting that welcome packets consisting of a PVSC Directory, a welcome letter, and coupons be prepared. Anyone who is aware of new residents in Pleasant View Estates should contact Rita. It was also suggested that the Neighborhood Watch might be a good source of this information.

4. The PVSC annual Garage/Yard Sale will be held 8:00AM-3:00PM, Friday and Saturday, 2-3 June 2006. These are the same dates as the Gleneagle sale. John Saychek reported that he has placed ads in the Tidbits for 3 weeks at a cost of $120.00 and the TriLakes Tribune at a cost of $8.00. He also stated that the Garage Sale signs left from the Pleasant View Homeowners Association (PVHA) were not salvageable, and that he purchased 6 new signs at a cost of $40.00. He also indicated that the old PVHA Town Hall Meeting signs were useable.

5. The PVSC annual picnic will be held Saturday, 22 July 2006 at Pavilions 4 and 5 at the Fox Run Regional Park. Much remains to be done.

a. A magician has been contacted?—more to come.

b. Volunteers are needed to cook and provide grills if fires are allowed. If not, the PVSC may purchase submarine sandwiches.

c. Kris Saychek indicated that she will try to obtain the ?“Picnic?” file from the PVHA and get more details out for the next meeting?—food, entertainment, children?’s games and prizes, etc.

d. The PVSC Secretary will bring a table and set-up a picnic registration point for membership verification. Name tags will be handed out with adult members indicated by a green dot on the name tag. Each member family will be given a PVSC Directory, and each eligible adult member (up to 2 per household) will be given a ballot and a copy of the proposed Bylaws. Non-members will be given the opportunity to join PVSC or to pay the prescribed rates for the picnic?—$5.00 for each adult (18 years or older), $3.00 for each child over the age of 2, and nothing for children 2 years of age and younger. A master roster of members is needed for the registration.

e. A proposed slate of officers/board members will be prepared at the next steering committee meeting from the interest sheets, volunteers, etc. The Secretary will prepare the ballot with this slate plus space for write-in candidates for each position to enable additional nominations during the annual PVSC meeting at the picnic. He will also make sufficient copies for the election.

f. Diane Jones will emcee the annual meeting at the picnic.

g. We need to establish procedures for the conduct of the election, ratification of Bylaws, and ?“swearing in?” of the new officers.

6. Regarding the PVSC Bylaws Article II, Section VIII, ?“Quorum?” issue, the Steering Committee approved establishing a quorum to be 25% of the PVSC membership. The Bylaws have been so amended and are attached to this email. The Secretary will make sufficient copies of the Bylaws for the annual meeting at the picnic. 7. Walter Reiss, Treasurer, indicated that all membership checks have been cashed and deposited into the PVSC bank account with a new balance as of May 11, 2006 of $3025.40.

8. Another newsletter to be distributed via email in late June will be prepared with the following articles: PVSC picnic, neighborhood watch, Baptist Road construction dates, fall town hall meeting agenda/speakers/topics, and welcoming new residents/notifications to Rita Hufford.

9. The next meeting of the PVSC Steering Committee will be 7:00PM, Thursday, 22 June 2006 at the Sun Hills Fire Station on Sun Hills Drive. The following agenda will be discussed:

Picnic (food, entertainment/children?’s games and prizes, annual meeting with election of officers/board members, approval of Bylaws, anything else????)

- Web Site
- Membership Update
- Fall Town Hall Meeting
- Directory Update
- Treasurer?’s Report

We really need the Chairpersons or their representatives of those items on the agenda to attend this meeting. Thank you for your support.
