Summerfield Owners Association November 2014 Newsletter

 

This newsletter is prepared for Summerfield Owner's Association (SOA) members to keep them informed of SOA activities. 

 

 

 

The board held a meeting on 10 November 2014 and discussed the following: 

 

                A:  The next general membership meeting is scheduled for 16 December 2014 at 7 PM at Harvest Field Church

 

                B:  Brian discussed a conversation with Nicholas Hughes (SOA’s Attorney) pertaining to paragraph 3 of the DCCR.  He was informed by Mr Hughes that paragraph 3 didn’t pertain to the location of outbuildings but instead, the location of the main residence to ensure there was at least 20 feet between each house.  He was also informed that only paragraph 5 pertains to outbuildings. 

 

                C:  We have received one bid for our lawn contract.  The bidding process ends on 15 November 2014. 

 

                D:  The entrance sign at Sunset Drive has been changed.  The board agreed to have a brick flower bed placed around the base of the sign. 

 

                E.  We are still seeking someone to chair the ACC.  In the meantime, the board has taken on the responsibilities and has mailed courtesy letters to a few residents.  We really appreciate the timely responses to the letters. 

 

                F:  Duties for the Neighborhood Watch program have been drafted and approved.  Chad Lapp is the Neighborhood Watch Captain.  The duties are posted on the SOA website. 

 

                G:  Janice Qualls volunteered to chair the Welcome Committee. 

 

                H:  The board agreed to change board members’ terms to December to December for dues collection purposes. 

 

                I:  The future of the garden lot was discussed and the board agreed to return the lot to its owner. 

 

                J:  For business owners in the neighborhood, beginning in July 2015, we will rent space on the newsletter so you can advertise your business.  Info on pricing will come at a later date. 

 

                K:  Millbrook newspapers are beginning to clutter the neighborhood because they are not picked up.  If you don’t want to receive the newspaper, please call (334)285-1299 and request to be added to the no-throw list.

Progress made by board over the past several months: 

 

                A:  Updated Sunset Drive entrance sign

 

                B:  Drafted position description for all board positions.  Position descriptions are posted on SOA website. 

 

 

 

The quarterly dumpster program was postponed due to lack of participation by residents.  In order for the program to continue, increased participation is required. 

 

 

 

Even though we do not have an Architectural Control Committee Chair, the board continued to enforce Declaration of Covenants, Conditions and Restrictions (DCCR) standards.  Courtesy letters were mailed to residents/owners for violations of the DCCRs.  We appreciate your timely response.

2014 SOA dues collection ended with eleven unpaid dues.  Brian will be talking to Mr Hughes about filing legal actions against the owners that failed to pay their dues. 

 

 

 

SOA DUES NOTICE:  Dues for 2015 will be in the amount of $100 for each lot in Summerfield.  The SOA Fiscal Year starts January 1st and ends December 31st.  Dues may be paid at any time in advance, but official collection starts August 1st and continues through the end of August.  On the first of September they become overdue and start drawing an interest penalty of 10% per annum.  Please remit dues to the following address:  Summerfield Owners Association, PO Box 504, Millbrook, AL 36054. 

 

 

 

Due to dues collection between August and November, the SOA board agreed to change board members’ term from July to July to December to December to avoid changing Treasurers during the dues collection period. 

 

 

 

Dues Collection Process:

 

1.  Initial notification:  The summer newsletter (July)

 

2.  2nd notice if not paid by August 31st will be mailed for delivery NLT September 15th.

 

3.  3rd notice (return receipt) if not paid by September 30th will be mailed for delivery NLT October 15th.  Interest and administrative costs will be added to dues bill. 

 

4.  A personal visit to owners living in Summerfield Subdivision will be made by the President/Vice President no later than October 30th to discuss non-payment of dues. 

 

5.  On or about November 15th, all documentation is turned over to Mr Hughes (Attorney) for legal action.  After attorney fees and court cost are added, the owner can be liable for up to $2000.00 in fees.  The affected owner is responsible for all payments. 

 

 

 

Owners, if you are moving away from the area and renting out your home, please give the SOA your forwarding mail address, phone number and email address so we can advise you of general membership meetings, dues collection, lot maintenance and deliver proxy voting forms to you if necessary.
