Windward Pointe Board Meeting Oct 6, 2003

Present: George Frieberger, Helen Kline, Chris Corrow, Allan Gi


1. A quorum being present, the meeting started at 7:10pm
2. The Directors agreed to divide up the list of those who have not yet voted, and each will contact the people to get votes. The deadline is October 30th. Allan will put out a sign indicating the number of votes received so far.
3. Update on Capital Reserve Study proposals
a. Proposal from Criterium for $2200, Donald K Elliot for $2500, and from Ray Engineering for $2750 for common infrastructure and building external maintenance. Criterium proposal most comprehensive. Criterium recommended. Motion was made to go with Criterium. By a vote of 4-0, Criterium was selected. This will be expensed against the contingency budget. Have them assess specifically the fire sheds early this week.
4. Update on dead tree removal proposals
a. We have a proposal from 404-CUT-TREE for $3350, from North Fulton Tree Service at $4300 and from Redfern for $2900, all for same scope of work. Redfern recommended. Motion was made to go with Redfern. By a vote of 4-0, Redfern was selected. This will be expensed against the Landscape Upgrade.
5. Next Meeting Dates – November 8th Open Meeting (Allan to call Kroger) and December 15th

Landscaping Committee Update

6. Landscaping Committee Update
a. Repair of the Sprinkling System – We will pay $70, and the George will work with CCM to present the remaining bill to Penn Hodge etc.
b. Fall Pine Straw - $9625 estimate from Crabapple. Board feels that additional pine straw not needed at this time.
c. Crabapple discussion – some dissatisfaction with lack of promised work (sanding, mowing, tree removal, shoddy work)
d. Update on Landscaper bids – Another firm, All Seasons Landscaping won the landscaping contract with Fairview. The Board will ask them to bid on the landscaping contract for Windward Pointe.
e. Update on Fence discussions with Pulte – Further action will be taken when the engineering assessment has been completed.
f. Update on Drainage repairs - Scott’s Creative Craftsman has submitted a bid for drainage repairs for $6288 and $4240, for a total of $10,528. A motion was made to award the work to Scott’s. The motion was seconded and passed 4-0 and will be expensed against landscape upgrade.
g. Update on Mail Box building – Scott’s Creative Craftsman has submitted a bid for $13,848. Additional bids will be received. The Board agreed to budget this work until next fiscal year.
h. Seasonal Color – deferred this year due to construction in front.
7. Architecture Committee Update
a. One request to put a full view glass door on unit – Anderson full view aluminum door. The door meets guidelines. The Board approved the request.
b. Discussion as to whether to expand the rules and regulations to prohibit non-white blinds/shades on the front windows.

8. Pool Committee Update – Pool is closed
9. United Towing – The Board voted to contract United Towing for towing of cars.
10. Communications Committee Update
a. Next newsletter – Published a September letter. Next newsletter to be January. Next issue will not be underlined.
b. Web site status - Still in process – maybe up and running by January 1st.
11. Treasurer’s Update
a. Update regard fire sprinklers repairs – repairs have been completed. Has been accepted by City. Need to add this as a budget item for next year, estimated to be $2500/year
b. Insulation for fire sheds – two bids $2422 and $2660 – for insulating 28 sheds. Will wrap all pipes with insulation and put in R-13. Chris to ensure that type of bulb is correct. Based on response, the Board voted 4-0 to hire Man Around the House.
c. Chris to ask CCM to prepare a proposed budget for next year.
12. Social Committee Update – October 4th party a success, albeit a small turnout. The Board agreed to conduct a survey regard homeowner desires for future social events.
13. Welcome Committee Update – Welcome package has been updated.
14. New Business – none.
15. The meeting concluded at 8:45.
