Board Notes 7/22/03

The following are UNAPPROVED minutes from the 7/22/03 Board meeting. This information has also been provided in paper copies in the info boxes by the pool.

Call to Order: President Paul Woods called the meeting to order in the home of Dick Lewis at 7:10 P.M.

Determination of Quorum:

In addition, Tricia Edwards, representing Meridian Management was also present. She noted that Virginia Grays was once again absent due to personal reasons.

A quorum was present.

Minutes:
Dick Lewis presented the minutes from the June 24, 2003, Board Meeting. Under ''Walking/Fitness Trail'', it was amended to indicate that Tricia Edwards indicated grants were available instead of Jeanne Gullion. Minutes were then approved as amended.

Treasurer?’s Report:
The report was submitted showing a cash balance as of June 30 of $8,975.63. However, in the interim, the Property Tax Bill of $4,922.13 was paid, along with other expenses, reducing the balance to $979.99. No information was available yet regarding appealing the high tax bill. Collections run approximately $9,000 per month, so the cash reserve should start to be replenished soon. The report was accepted.

Management Report

Management Report:
Tricia presented Meridian Management?’s report covering the following issues:

1. Jesse Halling Memorial Fund ?– The concrete base for the flagpole was poured last week in the middle of the island at the main entrance. A 30 foot pole will be erected this week as soon as a (free) lift becomes available. Then the plaque will be installed and the landscaping done. Once all is complete, a memorial service with the Halling family present will be conducted to hoist the flag. It will be lit with the two existing landscape lamps.

2. Fence Violations ?– It has been decided that ALL fence violations will be legally pursued. The three lots with fences larger than allowed will be asked to reduce them or move them into the envelope of their home as noted in the covenants. One other fence situation exists where it looks like unsightly vegetation is growing through/outside the fence, and this will be pursued, also.

3. Delinquencies ?– Four late notices were sent Mid-July. There are a total of 26 delinquencies being pursed, many through legal action, that total nearly $20,000.

4. Lake Signs ?– The wooden signs around the lakes prohibiting swimming, boating, and skating have deteriorated. 6 new aluminum signs will replace them at $27.00 each.

5. Pool Lot Signs ?– At the recommendation of the Sheriff Department and to prevent undesired gatherings in the pool parking lot after dark, 2 aluminum signs at $27.00 each will be ordered indicating ''No Trespassing or Loitering, Dusk to Dawn.''

6. Trampolines ?– Several complaints have been received regarding trampolines. It was decided that these are very much like swing sets and would be permitted as long as they are in the backyard of the residents.

Pool Committee

John Griffin gave the following report:

1. Pool Monitors ?– They simply do not seem to be doing their job. In addition, there have been some cases of allowing their friends to come in and subsequently sit at the picnic tables and doodle on the top until they are nearly covered with ballpoint pen marks. The company in charge of the monitors made a surprise visit to the pool one Sunday and they are aware of the lack of acceptable performance. They are to meet with John Griffin and Deb Stricklin-Hefner as soon as the meeting can be arranged to discuss the situation. In the meantime, John will begin to pursue utilizing volunteer monitors and desires anyone willing to serve in this way to contact him. The more volunteers, the less each will need to serve.

2. Baby Pool ?– The water has cleared and so painting of it will be postponed until the start of next season.

3. Lap/Exercise Swim ?– Those wishing to do so have been able to without any further involvement so this matter has been closed.

Communications Committee

The following items were discussed:

1. Anonymous postings online ?– John Griffin continues to monitor these and respond whenever appropriate. Regarding a recent one complaining about how teens are being treated in the neighborhood, the complainant was invited to attend the Board Meeting to address his issues, but he did not express interest in attending.

2. Information Boxes by the pool ?– The cracked Plexiglas will be replaced soon. These boxes are only for the use of disseminating information from the Association to the residents and are not to be used for personal items.

3. Newsletter ?– One is expected to be published around the end of July.

4. Move In / Move Outs ?– A combined letter from MMC and CCPHOA will be sent to all new residents of the community.

5. MapQuest.com ?– John Griffin noted that the major problem is discerning Inishmore Way from Inishmore Drive. He will try to inform MapQuest of this problem.
