Subject: Minutes of the June 22, 2006 Pleasant View Social Club (PVSC) Steering Committee Meeting

1. The following attended the Steering Committee meeting of the Pleasant View Social Club (PVSC) on June 22, 2006 at the Sun Hills Fire Station:

2. The Garage Sale, which was held 2-3 June 2006, was briefly discussed. While several participants expressed misgivings regarding it being held the same weekend as the Gleneagle sale, about as many thought it was a good idea. An informal survey will be conducted prior to next year's sale to gain a better understanding of the community's desires. Bills in the amount of $31.82 were submitted by Kris Saychek on behalf of her husband, John, for advertising and signs.

3. Another newsletter needs to go out to advertise the Summer Picnic around 5-6 July 2006 timeframe. A suggestion was made to contact Sheila Frey, the Neighborhood Watch Chairperson, and solicit her Area Coordinators to distribute the newsletter in order to save postage.

4. The PVSC annual picnic will be held Saturday, 22 July 2006 at Pavilions 4 and 5 at the Fox Run Regional Park. Much remains to be done. Anyone desiring to help should contact Kris Saychek.

a. Kris Saychek is the Picnic Chairperson and provided a report on her efforts.

b. A budget in the amount of $500.00 was established for the picnic.

c. Submarine sandwiches, soft drinks, water, ice, cups, plates, napkins, and utensils will be provided by PVSC. Each family will be requested to bring chips, salad, or dessert depending on the first letter of its last name. Instructions will be provided in the newsletter. Diane Jones offered a very large cooler for the submarines. Additional containers/coolers are still needed for the drinks.

d. A business meeting will precede the actual picnic beginning at 11:00 AM in order to elect PVSC officers and to adopt the PVSC By Laws. Simultaneously, a local magician will entertain children for 30 minutes with a magic show. The actual picnic will begin at noon.

e. The PVSC Secretary will bring a table and set-up a picnic registration point for membership verification. Name tags will be handed out with adult members indicated by a green dot on the name tag. Each member family will be given a PVSC Directory, and each eligible adult member (up to 2 per household) will be given a ballot and a copy of the proposed Bylaws. Non-members will be given the opportunity to join PVSC or to pay the prescribed rates for the picnic-$5.00 for each adult (18 years or older), $3.00 for each child over the age of 2, and nothing for children 2 years of age and younger. A master roster of members and membership application forms are needed for the registration.

f. A proposed slate of officers/board members is almost complete. The Secretary will prepare the ballot with this slate plus space for write-in candidates for each position to enable additional nominations during the annual PVSC meeting at the picnic. He will also make sufficient copies for the election.

g. Diane Jones will emcee the annual meeting at the picnic.

h. Other children's activities may include a water balloon toss and rub-on tattoos. Volunteers are needed to assist with the children's games.

5. The PVSC Directories will be ready for distribution at the picnic. 150 copies at a cost of $250 are being procured. Extra copies will be used as a part of the Welcome Packets.

6. The Welcoming Committee Chairperson, Rita Hufford, offered her plan to welcome newcomers to Pleasant View. Her plan envisions an initial in-person visit by her or a member of her committee to the new homeowner and the presentation of a PVSC welcome letter, PVSC directory, PVSC membership application with a stamped return envelope, and a small gift of a plant or bakery item. They would also attempt to answer any questions the new resident would have. A second contact would be conducted by telephone a week or two later to see if the new homeowners had any questions and to follow-up on the PVSC membership application. The same procedures would be used for renters minus the gift. The committee approved a budget of a maximum of $5.00 per new resident.

7. PVSC currently has approximately 100 member families.

8. The Fall Town Hall Meeting will begin 10:00 AM, October 21, 2006 at the Sun Hills Fire Station. The Chairman, Sam Hartman, is currently trying to arrange for speakers-possibly from the Fire Department, the County Roads Department, the Sheriff's Office, and someone to speak on xeriscaping. He is also considering organizing a lunch after the speakers.

9. Walter Reiss, PVSC Treasurer, reported a current balance of $3102.00 in the PVSC checking account.

10. The next meeting of the PVSC will be 11:00 AM, Saturday, July 22, 2006 at the PVSC Annual Picnic at Pavilions 4 and 5 at the Fox Run Regional Park.. The following agenda will be discussed:

- Welcome.
- Discussion of proposed PVSC officers/directors and additional nominations.
- Discussion of PVSC By Laws.
- Conduct of election and ratification of by laws.
- Any other business of interest to PVSC members.

11. If anyone has the "electrons" for the PVSC membership application, please send them to the Jim Weilbrenner so that he can make copies for the PVSC Annual Picnic.
