Note About Dues Notice From the President
As the President, I would like to apologize to all of the members who have contacted the Board with an issue about how the Dues were sent out. There was a misunderstanding during the Jan. meeting about how the Treasurer had planned to send out the Notices. Some of us thought that he was just sending the Delinquent Dues Notices out Certified Mail. When questioned about this at the Feb. meeting, the Treasurer stated that he had found some of old Certified Mail receipts, in the paperwork that was given to him. And that he thought that was how all the Dues Notices were sent out, so he sent out all the Notices that way after our Jan. meeting. Again I would like to say that I am very sorry for any member who had to go to the Post Office to get the Notice and the extra expense.

I would also like to say thank you, to all of the lot owners that pay their dues in a timely manner. This saves money, no extra notices, no legal actions and the Treasurer?’s time. I would like to point out that the Treasurer?’s position is voluntary, takes a lot of work, has a great deal of responsibility and that there are not a lot of people willing to do the job.

Legal Issues
All lot owners are expected to pay dues in a timely manner. Annual dues are owed each year on all lots owned, even those sold but not yet built upon. Arrangements will be made to process liens against property owners that do not comply and the Commons Area usage shall be revoked.

Various Violations Notices are being sent out after the Notices are discussed and voted on at the Board meetings. A copy of these Violation Notices are placed in the Communication Record Book. We will not get to all of the Infractions this month, but hope to handle what is left (Garbage containers and Satellite Dish placement), during the next few months. The Violations will be posted on the meeting Agenda for the month in which they will be discussed. We will also handle new ones as they arise.

If you have a complaint please E-mail the complaint or write your complaint and give it to a Board Member. The complaint will then be discussed at the next Board meeting. The complaint needs to contain a statement of what the infraction is and should be dated with your signature. The Member who placed the complaint will then receive written documentation how their complaint will be handled. We need all complaints documented for our records and for legal purposes. We have already had some problems with a oral complaint. All of the past oral complaints have been documented and placed in the Communications Record Book. If it is an issue that needs immediate attention we will call a special meeting to handle it.

Board Member Resigned
Brian Rhodes resigned from the Board this month and his position of Secretary had to filled as per By-Laws Article VII Section 5: A vacancy in any office may be filled by appointment by the Board of Directors. The appointed officer shall be a current member of the Board of Directors, and shall serve the unexpired term of the office replaced. Current Board Member Nick Willborn was asked to fill the position. He accepted. Per By-Laws Article IV Section 3, for a vacancy of the Board: The Board of Directors is authorized to fill vacancies for the remainder of the unexpired term. We are now asking for anyone interested in serving on the Board to please contact a current Board member. The Board will vote on the names submitted and let everyone know the outcome of the election.

Committee Members Needed
