Meeting Suggestions

First of all I'd like to thank the Board that ran the meeting this evening for taking the time to address issues that concern our neighborhood.

This was the first meeting I have been able to attend and I did have some suggestions.

(1) Would it be possible to send out the agenda to all homeowners via email &/or mail prior to the meeting? This way everyone could follow along & be prepared to speak about the issues. Also a copy of the budget would be useful.

(2) Can we stick to the agenda & allow time slots for each topic. These meetings should be no longer than one hour.

(3) Would it be possible to get minutes distributed via email &/or mail? I see they are posted on the website but it's not a site I frequently visit but if it came to me over email I'd be more likely to pay attention.

I'd like to know the background on some of the issues other people are having with their homes. I thought there were good discussions this evening but not everyone was aware of the background on each topic therefore the discussion was longer b/c of the background that needed to be shared (or clarification points). If this was included on the agenda &/or a newsletter then people could come prepared to the meeting.

Again, these are just suggestions so more people can be aware of the issues you are trying to address b/c I definitely think they are valid concerns that should be shared by the neighborhood. Unfortunately, not everyone can attend each meeting, especially if they are longer than an hour.

Hello, Toni,

First, we do appreciate your interest in our community, and thank you for attending the meeting. In response to your suggestions:

(1) Yes, it is possible to send out a copy of the agenda prior to the meeting. For this particular meeting a postcard was rushed out to homeowners when we finally found a last-minute, reasonable place to meet. In most cases we do not anticipate such a ''rush job'' and certainly an agenda can be expected next time via mail.

(2) I have researched your suggestion. I am not opposed to adhering to the agenda, but please keep in mind that the Order of Business (Article IV, Section 4.09) does require ''new business'' to be addressed, and this is the most appropriate time for homeowners to voice additional concerns the board may be unaware of. Ideally the meetings would not be expected to run as long as this one did; however, this was a first meeting, and many unique issues needed discussion. I will definitely bring up your idea of set time slots to the board.

(3) All books, records, and accounts are available for inspection by any member (Article X, Section 10.04). These documents are maintained with the management company. I had posted several meeting minutes on this website when the board was first elected, only to let members know that we had indeed begun working issues. Once the HOA can get dedicated bodies - any volunteers to help at all - for an Architectural, Maintenance, Safety, Newsletter, and Social Committee, then we may be able to meet your request. Meanwhile, please bear with us.

With the assistance of concerned homeowners such as yourself, the HOA can accomplish much, much more. If you or anyone you know of is willing to volunteer, please let us know. We most certainly need the help!
