Whenever I create a flyer, I create it with two ideas in mind.
First, when I create the flyer, I create it in regards to how easy it will be to read for the people that are hand delivered a flyer. I try to word the flyer with as little information as possible so that I am able to make the lettering/numbering larger and more visable to people which in turn will hopefully get their attention when they see it and they won't just throw it away thinking it is another piece of "junk" mail that someone has left on their door without ever reading it.
Second, the flyer is created to inform as many people as possible in our Reporting Area of the upcoming meeting. If you have seen one of our flyers, you will see that I do mention what is going to be discussed or mentioned at the meeting. I hear from people up to 3-4 days before the meeting so I don't have the agenda complete before that time because I make every attempt to get items into the agenda that neighbors want mentioned.
This is our neighborhood's crime watch group and I want to make these meetings about what the neighborhood want's to know and I also want to always include any new information and details that people need to know about that may not have been given to me until a short time before the meeting. If I included an official agenda in the flyer, then that would tie my hands on other things people want me to discuss and to giving out information that I have been given that could be helpful to many of the neighbors. For instance, in the past week I have learned of two new informative programs within the City of Dallas that have the potential to be very helpful for everyone. If I decided to discuss these items at the meeting anyway, then people would get mad that I hadn't mentioned those items in our agenda. That's the reason I decided to not include the agenda in with the flyer or in with the e-mails informing people about the meeting.
Since your question wasn't posted until today, 8/28, I hope that this answer will still give you enough time to make a decision about our meeting. With only three days left until that time, I have my agenda ready now and would be more than happy to give you all the items on this agenda. I haven't typed all the details about each item on the agenda as of yet, but would be more than happy to give you a brief rundown as to what I will be speaking about if you would please send me an e-mail so that I can officially post this information and answer to your question on our web site. Very few people read the discussion area so I would like to post everything we have discussed on a page on our site so that others who might have the same question you had would be able to read what we both said. I cannot copy any of this to a page on our site because that feature isn't available. However, I can copy information from an e-mail onto the site.

I hope this answers your question. I'm sorry for any problem this may have caused for you. I have always handled our meeting this way in the past and haven't had this complaint before so I was unaware that anyone was not happy about the way I handled our flyer. I'll make sure I add this to my agenda so that I can get a general consensus as to how the neighborhood wants this information. I just want to do as good a job as I possibly can for our group and to do that job according to what pleases the residents and business owners. If the general consensus wants me to change how I get the information out to everyone, then I'll make whatever adjustments necessary to make sure the flyer and e-mails are handled differently in the future.

I know it is impossible to roll back time and include the flyer in the emails from the chairman, but would that be a good idea.
I need an agenda before committing time to a meeting, sorry that's me. the more time I have the agenda before the meeting, the better decision I can make.
Is the agenda/flyer a secret?
