Mail to members - when?

The June newsletter should be arriving in everyone's mailbox this week. Its arrival in my mailbox today prompted me to post a note here to explain when information is mailed to members, and when information is mailed to the neighborhood at large. I handle the mailing lists for the newsletter, membership, and monthly meetings.

1. Newsletters.
Mailed to all members, and to all non-member Old Northeast home-dwelling residents with an active mail address. (We rent an updated mailing list for each edition. The mail costs are prohibitive to mail the newsletter to all residents in apartments, etc.)

2. Membership dues reminder postcards.
About every month, I send a postcard to everyone whose membership dues elapsed in the current month, or in the past one or two months. Following this method, everyone should receive at least two reminder notices. After the second notice has been sent and no dues are received, I set all unpaid memberships to ''inactive.''

3. Monthly meeting reminder postcards.
These are mailed about one week (sometimes sooner) before each monthly meeting to all paid members plus members whose dues expired in the past one or two months. (I extend this leeway because many people renew their dues at the membership meeting -- so I want to remind them about the meeting!)

4. Special notices.
When certain issues affect the entire neighborhood and not just the association and its members, then a special mailing is sent to all neighbors. For example, because the Neighborhood Plan affects everyone, any Association effort to modify the plan needs to be communicated to everyone -- not just members.


Finally: Your membership dues expiration date is printed on the mailing labels for #2 and #3 above. For the newsletters (#1), if you are not a member, the label is addressed to ''Old Northeast Neighbor.'' If you are a member, your name will appear on the label. (I may add the dues date to that label also.)

I hope this note explains when you can expect to receive a mailing, and how you can easily check your dues expiration date -- look at a mailing label.
